Cancellations and Refunds

Tickets for Wyldwood Renaissance Festival are sold for a specific date and period of performance. Under Regulation 28(1)(h) of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, services relating to leisure activities provided on a specific date or during a specific period are exempt from the statutory 14-day cancellation or cooling-off period. This means that the usual right to cancel an online purchase within 14 days does not apply to festival tickets.

Tickets are therefore non-refundable and non-transferable, except where a refund is expressly provided for under these terms or required by law.

If the festival is cancelled for reasons within the organiser's control, eligible ticket holders will be offered a refund of the ticket face value, excluding any booking or transaction fees.

If the festival is cancelled or unable to proceed due to force majeure, including circumstances beyond the reasonable control of the organiser such as extreme weather, natural disasters, government restrictions, or other unforeseen circumstances, tickets will instead be rolled over to the next scheduled Wyldwood Renaissance Festival. No refunds will be issued for cancellations or postponements caused by force majeure, unless otherwise required by law.

Where a refund is applicable, it will cover the ticket face value only. Booking, transaction, processing and other non-ticket fees are non-refundable.

Any refund request must be submitted within one month of the cancellation date. Requests received after this period may not be eligible for a refund.

Ticket Resale

If you are no longer able to attend, tickets may be resold through our official resale platform, Tixel. We strongly recommend using the official platform rather than purchasing or selling tickets through unofficial channels, as this helps protect both buyers and sellers from fraudulent or invalid tickets.

Weapons Policy

For the safety of our visitors, crew and performers, real weapons and items prohibited under UK weapons legislation are not permitted anywhere within the festival site.

This includes items whose possession, sale or carrying is prohibited or restricted under applicable UK law, including legislation such as the Criminal Justice Act 1988, Prevention of Crime Act 1953 and Offensive Weapons Act 1996, as amended.

Prop Weapons

Costume accessories and props designed to resemble weapons may be permitted, provided they are clearly intended as props and meet our safety requirements.

All potentially weapon-like props may be subject to inspection at the entrance. As a minimum:

• Blades must have blunt edges and points and must not be capable of causing injury through normal use.

• Bows, crossbows and similar props must have no functional projectiles and must not be capable of being used as a weapon.

• Replica firearms and gun-like props must be clearly identifiable as props and comply with all applicable UK legislation. An orange tip alone does not make an otherwise unlawful imitation firearm permissible.

• Props must not be modified or constructed in a way that makes them capable of causing harm.

Security and the Wyldwood event team have the final decision on whether a prop may enter the festival site. Any item considered unsafe, unsuitable, unlawful or potentially threatening may be refused entry. Where an item is prohibited by law, it will not be permitted under any circumstances.

If you are unsure whether a costume prop is permitted, please contact the Wyldwood team before travelling to the festival.

Liability

Bodkin Events Ltd, trading as Wyldwood Renaissance Festival, takes reasonable steps to ensure the safety and security of all attendees, traders, performers and staff. However, attendance at the festival is subject to the following conditions.

To the extent permitted by law, Bodkin Events Ltd accepts no responsibility for any loss, damage, injury or theft arising from the actions or omissions of other attendees, traders, performers, contractors, third-party providers or the venue.

Attendees are responsible for taking reasonable care of themselves and their personal belongings while on the festival site. We cannot accept responsibility for lost, stolen or damaged property unless such loss or damage arises as a result of negligence or another circumstance for which Bodkin Events Ltd is legally responsible.

Participation in activities, performances and other experiences at the festival is undertaken at the attendee's own risk. Attendees must comply with all reasonable safety instructions and directions issued by festival staff, security personnel, performers or activity providers.

Nothing in these terms excludes or limits any liability which cannot legally be excluded or limited, including liability for death or personal injury resulting from negligence, fraud or fraudulent misrepresentation, or any other liability protected by applicable UK law.

Traders

Individual traders are responsible for the goods and services they provide or sell, including ensuring that their products comply with all applicable laws and safety requirements.

Bodkin Events Ltd accepts no responsibility for the quality, safety, suitability or legality of products sold by individual traders. Any issues relating to a purchase should be raised directly with the relevant trader, without prejudice to any statutory consumer rights that may apply.

By attending Wyldwood Renaissance Festival, attendees acknowledge that they are responsible for their own actions and belongings and agree to comply with all applicable festival rules and reasonable instructions.

Behaviour

Wyldwood Renaissance Festival is committed to providing a safe, inclusive and welcoming environment for all attendees, traders, performers, volunteers and staff. Everyone attending the festival is expected to behave respectfully towards others and comply with the following requirements.

Food & Drink

Outside food and non-alcoholic beverages for personal consumption are permitted in reasonable quantities.

Bringing alcoholic beverages onto the festival site is not permitted. Please refer to our Alcohol Policy for further information regarding the purchase and consumption of alcohol at the festival.

Unauthorised Trading & Promotion

Unauthorised selling of goods or services, commercial activity, solicitation, or distribution of promotional materials is not permitted anywhere on the festival grounds.

All traders, performers, workshops and commercial activities must be approved by the festival organisers in advance. This includes the unauthorised promotion of businesses, events, organisations or services (e.g. Business cards with trinket trades).

Costumes & Imagery

Costumes are welcomed and encouraged as part of the Wyldwood experience. However, all costumes must remain appropriate for a family-friendly event and must not contain political, discriminatory, hateful or extremist imagery, symbols or insignia.

The festival organisers reserve the right to refuse entry or require the removal or alteration of any costume, symbol or item that is considered inappropriate, offensive, threatening or inconsistent with the inclusive nature of the event.

Animals

Dogs are welcome at Wyldwood, provided they are kept under control and on a lead at all times unless otherwise directed by the festival team.

Owners are responsible for the behaviour, welfare and cleanliness of their animals and must ensure they do not cause disruption or pose a risk to other attendees.

Behaviour

Disrespectful, threatening, abusive, discriminatory or violent behaviour will not be tolerated. This includes harassment, intimidation, unwanted physical contact, threatening behaviour and behaviour intended to cause distress or harm to others.

Attendees are expected to treat fellow visitors, performers, traders, volunteers, staff and contractors with respect.

Anyone found to be seriously or repeatedly breaching these requirements may be refused entry or removed from the festival site without a refund. Serious incidents may also be reported to the appropriate authorities.

By attending Wyldwood Renaissance Festival, you agree to follow these guidelines and any reasonable instructions given by festival staff or security.

Access

Welcome to Wyldwood! Before you enter the realm, there are a few things we ask every adventurer to know.

A valid festival ticket is required for entry. Tickets may be purchased online or at the gate, subject to availability.

Tickets & Wristbands

Each ticket contains a unique barcode and may only be used once. The barcode will admit the first person to present a valid ticket. Copying, duplicating or redistributing tickets is prohibited, and the original ticket purchaser is responsible for any misuse of tickets purchased by them.

Day tickets are valid only for the date stated on the ticket and will be exchanged for a wristband on entry.

Weekend and camping tickets include the appropriate wristbands for access throughout the festival period.

Wristbands must remain intact and securely fitted to remain valid. If your wristband becomes damaged or unusable, please visit the Information Stand for assistance. Replacement wristbands may be issued at the discretion of the festival team.

Entry will not be permitted without a valid ticket or wristband where one is required. Anyone found on the festival grounds without valid entry credentials may be asked to leave.

Accessibility & Carer Entry

Wyldwood Renaissance Festival is committed to making the festival as accessible and welcoming as possible.

We are proud to partner with Nimbus Disability and the Access Card scheme to help make attending Wyldwood as accessible as possible.

Attendees who require a carer or essential support person may request a free Carer Ticket when purchasing their own festival ticket.

If you already hold a valid Access Card, you can use it to access your Carer Ticket through our ticketing portal.

If you do not currently have an Access Card, you can apply for a Carer Ticket through our Nimbus Disability portal, where your requirements can be assessed as part of the process.

The Carer Ticket is intended for a person providing essential support to the ticket holder and is not intended for general companions or additional guests.

Carers must enter the festival with the attendee they are supporting and may be required to provide identification or supporting documentation at the gate.

Accessible facilities, including accessible toilets, designated accessible parking and accessible camping options, are available. Further information can be found in our Accessibility section or obtained from the Information Stand during the festival.

If you have accessibility requirements that you would like to discuss with us before attending, please contact the Wyldwood team in advance so we can do our best to assist.

Security & Prohibited Items

For the safety of everyone attending, bags, belongings and costume props may be subject to security checks upon entry.

Props must be non-functional and must not present a threat to other attendees. Please see our Weapons, Props & Costume Accessories Policy for further information.

Visitors may also be refused entry where they are carrying prohibited items or anything that the festival team reasonably considers to pose a safety risk.

Children & Young People

Children aged 5 and under enter free of charge.

• Ages 0–5: Free entry

• Ages 6–15: Child ticket required

• Ages 16+: Adult ticket required

Anyone under the age of 16 must be accompanied by a responsible adult at all times while attending the festival. Parents, guardians and accompanying adults remain responsible for the supervision and welfare of children in their care.

The festival team cannot accept responsibility for children who are left unsupervised.

Proof of age may be requested where necessary to confirm eligibility for a child or adult ticket.

Opening Hours & Overnight Access

Visitors must not remain on the festival grounds or within the general parking areas after the site has closed, unless they are authorised campers, crew, traders or otherwise authorised by the festival team.

Sleeping in vehicles within the general parking areas is not permitted. Visitors wishing to stay overnight should use the designated camping facilities and hold the appropriate camping ticket.

Age Verification

Visitors may be asked to provide valid identification where reasonably necessary to verify age or ticket eligibility.

Intoxication & Conduct

Entry may be refused to anyone who appears to be under the influence of alcohol or drugs to the extent that their condition presents a safety or welfare concern.

Anyone found to be carrying prohibited substances, behaving dangerously, or otherwise breaching festival rules may be refused entry or removed from the festival without a refund.

Wyldwood Renaissance Festival reserves the right to refuse entry to, or remove from the site, any person whose conduct presents a safety, security or welfare concern, including but not limited to:

• Aggressive, threatening or abusive behaviour

• Harassment or discriminatory conduct

• Inappropriate or indecent behaviour

• Possession of prohibited or unlawful items

• Breaches of festival rules

• Conduct that may endanger or seriously disrupt others

• Breaches of applicable UK law

Any refusal of entry or removal will be handled at the discretion of the festival team and security, with the safety and wellbeing of our visitors, staff, performers and traders being our priority.

Photography and Video

Wyldwood is a festival filled with characters, costumes, performances and moments worth remembering. Photography and filming are welcome, provided they are carried out respectfully and do not interfere with the enjoyment, privacy or safety of others.

Festival Photography & Filming

By attending Wyldwood Renaissance Festival, you acknowledge that photography and video recording may take place throughout the event.

Images and footage captured by Wyldwood Renaissance Festival, Bodkin Events Ltd, or our official photographers and videographers may feature attendees and may be used for promotional, marketing, advertising, editorial and archival purposes.

This includes, but is not limited to, use across our website, social media, digital and printed advertising, promotional materials, press coverage and future festival marketing campaigns.

Official photographs may be used in advertising for Wyldwood Renaissance Festival and related Bodkin Events Ltd activities without geographical or time limitations and without additional payment or compensation.

If you have concerns about appearing in official festival photography or filming, please speak to a member of the Wyldwood team or visit the Information Stand.

Attendee Photography & Filming

Attendees are welcome to take photographs and videos for personal, non-commercial use.

Please be considerate when photographing or filming others, particularly children, performers and members of the public. Do not obstruct performances, activities, walkways or other attendees, and always respect a reasonable request not to be photographed or filmed.

The use of photography or video for commercial purposes, including advertising, paid content, commercial promotion or monetised media, requires prior written permission from Wyldwood Renaissance Festival.

Professional photographers, videographers, content creators and media representatives wishing to undertake commercial or commissioned photography or filming should contact the Wyldwood team in advance.

By helping us capture the stories and atmosphere of Wyldwood responsibly, you help us share the magic of the festival with those who couldn't be there.

Alcohol Policy

Wyldwood Renaissance Festival operates a strict 18+ policy for the purchase of alcohol. Alcohol may only be purchased by persons aged 18 or over, and our team may request valid photographic identification before completing a sale.

We operate a Challenge 25 policy. If you appear to be under 25, you may be asked to provide acceptable proof of age before purchasing alcohol. If you cannot provide suitable identification, the sale will be refused.

Purchasing & Consuming Alcohol

• Alcohol purchased from the Wyldwood bar must be consumed within the designated Bar area, unless otherwise stated by the event team.

• Sealed alcoholic drinks may be purchased from authorised traders where permitted, but must remain sealed while within the festival grounds.

• Alcohol must not be purchased or supplied on behalf of anyone who is under 18.

• Festival staff and security reserve the right to refuse the sale of alcohol or remove alcohol from the site where these rules are breached.

It is illegal for an adult to purchase alcohol for someone under 18 in certain circumstances, and attempting to circumvent our age restrictions may result in refusal of service and removal from the festival without refund.

Anyone found supplying alcohol to underage attendees, becoming abusive or dangerously intoxicated, or otherwise breaching our alcohol policy may be removed from the festival site. Serious incidents may also be reported to the appropriate authorities.

Proof of Age

Acceptable proof of age should be valid, photographic and government-issued, such as:

• A valid passport

• A UK or EU photocard driving licence

• A recognised proof-of-age card bearing the PASS hologram

Photographs or photocopies of identification may not be accepted.

Parking

Parking is available for festival attendees in designated parking areas. Please follow all signage and instructions from the parking team when arriving and departing.

Vehicles are parked at the owner's own risk. Bodkin Events Ltd and Wyldwood Renaissance Festival cannot accept responsibility for theft, loss or damage to vehicles or belongings left within them, except where we are legally responsible.

Please ensure your vehicle is securely locked and that valuable belongings are not left on display.

Parking availability is limited and a festival ticket does not guarantee a parking space. We recommend considering public transport, car sharing or alternative travel options where possible.

Camping

For those who wish to linger a little longer in the realm, our campsite offers the chance to make a full weekend of your Wyldwood adventure. Whether you arrive beneath canvas or in a campervan, please help us keep the campsite safe, peaceful and welcoming for all.

Campsite Access & Hours

Campsite access is restricted to attendees holding a valid camping wristband. Festival tickets alone do not grant access to the camping area.

Campsite opening hours:

• Friday: 1:00 PM – 10:00 PM

• Saturday-Sunday: 10:00 AM - 10 PM

• Monday: Campsite closes at 12:00 PM

Re-entry to the campsite is permitted between 7:00 AM and 11:00 PM. The campsite gates will be closed overnight.

Campervans & Motorhomes

Campervans and motorhomes are welcome in the designated area for those who have purchased a Campervan Ticket.

Please note that there are no electrical hook-ups available. Waste disposal facilities will be provided.

Camp Rules

To keep the camp safe and enjoyable for everyone:

• Glass containers are not permitted.

• Large LPG gas cylinders are not permitted.

• Generators are not permitted.

• Excessive noise and disruptive behaviour are not permitted.

• Quiet hours begin at midnight and must be respected throughout the campsite.

Fires & Open Flames

For everyone's safety, personal open flames are not permitted. This includes candles, torches, lanterns and personal campfires.

Where conditions allow, communal campfires will be provided for campers to gather around and enjoy. These will be operated and managed by the festival team and may be withdrawn where weather or site conditions make them unsafe.

Leaving No Trace

Wyldwood is a realm we all share, so please leave your camping area as you found it.

All campers are responsible for removing their rubbish and leaving their pitch clean and tidy before departure. Unwanted tents must not be abandoned and should instead be taken to the designated rubbish collection point.

Personal Belongings

The festival organisers cannot accept responsibility for theft, loss or damage to personal property within the campsite, except where we are legally responsible.

Please take reasonable care of your belongings and do not leave valuable items unattended.

Keeping the Realm Safe

All campers must follow campsite rules and any reasonable instructions given by festival staff, security or campsite personnel.

Failure to follow these rules, or behaviour that puts others at risk or causes significant disruption, may result in removal from the campsite or festival without a refund.

Thank you for helping us keep the Wyldwood camp safe, peaceful and enjoyable. Gather your companions, pitch your tent, and settle in beneath the trees. Your adventure need not end when the gates close.
